Lesson Policies

  • Tuition is paid in advance for all lessons/classes/workshops. Your monthly tuition reserves a weekly day/time for your private lesson. Tuition is based on the number of lessons scheduled each month which is determined by the TTUSD calendar.

  • Payment is prorated for the first month (if not starting lessons at the beginning of a month) along with a one-time registration fee of $25 and is due at the time of registration. Thereafter, full month’s tuition payment will be charged automatically at the beginning of each month. Lesson tuition is nonrefundable.

  • I agree to provide credit card information and have my account automatically charged at the beginning of each month. Your credit card will not be charged until your lesson schedule has been confirmed. I understand that I will not receive refunds or lesson credits for lessons that I do not attend.

  • Tahoe Truckee School of Music (TTSM) observes the same holidays as the Tahoe Truckee Unified School District (TTUSD). Lessons will not be provided and you will not be charged unless you make special arrangements to schedule a lesson on a holiday.

  • TTSM is generally open on TTUSD declared snow days. Credits for TTUSD declared snow days will only be issued if no lesson occurred and your instructor did not offer a virtual lesson option.

  • Lessons missed due to student absences are not refundable. However, each student is allowed two make-up lesson every six months, as long as the cancellation is made more than 48 hours before the lesson time and the credit is used within 30 days of the cancellation. Students enrolled in lessons are expected to notify the instructor as soon as possible if they are going to be absent for any given class so the instructor can plan accordingly.

  • Students are registered until the School is notified that the student will be discontinuing. We must receive at least 7 days notification before the beginning of the next month. TTSM does not refund tuition or provide credits or make-up lessons for lessons canceled by the student.

  • I give the Tahoe Truckee School of Music permission to record, videotape, or photograph my child (or self) during his/her participation in lessons, classes, recitals, or other events that are TTSM sponsored and used for the purposes of promotion and archive.

  • I hold the employees/contractors of the Tahoe Truckee School of Music and its endeavors harmless from liability during the time my child (or self) is participating in any TTSM programs, except in cases of gross negligence

  • The policies stated above are to remain in effect the entire time the student is taking lessons or involved in any other TTSM programs.

Tahoe Truckee School of Music (“TTSM,” “we,” “our,” or “us”) is committed to protecting the privacy of our students, families, donors, volunteers, and supporters. This Privacy Policy explains what information we collect, how we use it, how we protect it, and your choices regarding your information.

This policy applies to all information collected through our website, registration systems, communications (including voice and SMS), email newsletters, events, donations, and any other services we provide.

1. INFORMATION WE COLLECT

1.3 Communications & Activity Data

  • Email communication history

  • SMS opt-ins and messaging preferences

  • Lesson scheduling and participation details (via Opus)

1.4 Images, Videos, and Recordings

With consent obtained during registration, TTSM may collect:

  • Student photos

  • Student videos

  • Event recordings

  • Promotional and social media assets

These images are used only in accordance with our Photo Release Agreement.

2. HOW WE USE YOUR INFORMATION

We use collected information to:

  • Operate music lessons and school programs

  • Provide scheduling and account notifications

  • Maintain accurate school records

We do not use student or family data for advertising purposes.

3. THIRD-PARTY SERVICE PROVIDERS

We use trusted third-party systems to operate essential functions:

3.1 Website & Analytics

  • Squarespace (website hosting, forms, basic analytics)

  • Google Analytics (GA4)

  • Google Tag Manager

  • Meta Pixel (including potential retargeting)

3.2 Communication & CRM

  • Opus (primary CRM, scheduling, email, SMS, voice calls)

  • RingCentral (legacy SMS and voice — being replaced by Opus Voice/SMS)

  • Mailchimp (email newsletters)

  • Google Workspace (email and document storage)

3.3 Donations & Payments

  • GiveButter (donations, email receipts)

  • Venmo (occasional payments and small-event donations)

  • Stripe or other processors integrated through GiveButter or Opus (if applicable)

3.4 Creative Tools

  • Canva (used for design; no personal data uploaded other than public photos with consent)

Each provider uses appropriate safeguards and may only access data as necessary to perform their function.

4. IMAGE, VIDEO, AND MEDIA USE

All clients agree to a Photo Release as part of the Opus registration process.
This allows TTSM to use student photos, recordings, and performances in:

  • Social media

  • Website content

  • Promotional materials

  • Event marketing

5. SMS/TEXT MESSAGING PRIVACY

TTSM uses SMS messaging to communicate with students, families, and supporters who choose to opt in.

5.1 REQUIRED PROVIDER LANGUAGE (MANDATORY)

"Mobile opt-in information will not be shared with third parties for marketing purposes.
All the above categories exclude text messaging originator opt-in data and consent; this information will not be shared with any third parties."

5.2 Types of Messages You May Receive

  • Lesson reminders

  • Schedule changes or cancellations

  • Class notifications

  • Account updates

  • School announcements

  • Event reminders

5.3 Opt-In Details

You opt in to receive SMS by:

  • Providing your mobile number during registration

  • Filling out an online form

  • Giving verbal or written permission

  • Texting a keyword to join (when applicable)

5.4 Opt-Out Instructions

You may opt out of SMS messages at any time by replying STOP to any message.
You may also email info@tahoemusic.net to unsubscribe manually.

6. VOICE CALLS & CALL RECORDING 

Because TTSM will be using Opus1 Voice:

  • Some calls may be recorded for training, quality assurance, and operational accuracy.

  • You will hear a disclosure at the beginning of any recorded call.

  • Call recordings are used internally only and are never shared with third parties unless required by law.

  • Recordings are stored securely and retained only as long as reasonably necessary.

7. SHARING OF INFORMATION

We do not:

  • Sell personal information

  • Share personal information with third parties for marketing

  • Share SMS opt-in data, phone numbers, or messaging consent with any third party

We may share data only when necessary:

  • With trusted service providers listed above

  • To comply with legal obligations

  • To protect the safety of students, staff, and the community

All providers are required to handle your data securely and ethically.

8. CHILDREN’S PRIVACY

We collect limited information about minors only from parents or guardians.
We do not knowingly collect personal information directly from children under 13.

9. RETENTION OF INFORMATION

We retain personal data only as long as necessary for:
